POSITION PURPOSE

The Senior Officer assists the Associate Manager in maintaining quality assurance and academic compliance across all accreditation projects and programme related procedures in alignment with Vietnamese regulations, quality accreditation standards and partner universities’ regulations.

AREAS OF RESPONSIBILITY

Quality accreditation:

  • Coordinate quality accreditation, quality rating and ranking project activities, resources and information.
  • Develop timeframes and monitor project procedure to meet deadlines.
  • Liaise with relevant stakeholders to gather information, evidence and data, and ensure timely submission of accreditation materials.
  • Develop and maintain an Evidence Management system as a source of accreditation materials.
  • Assist in preparing paperwork in response to MOET audit and legal requirements.
  • Work closely with the the Associate Manager, UCAQA and Deputy Head, ASSA to ensure that policies and procedures are closely followed in order to comply with quality accreditation, quality rating and ranking standards.

Compliance:

  • Ensure all procedures related to discipline opening, programme opening, closing, programme amendment, review and extension carried out in compliance with MOET regulations and university regulations.
  • Coordinate with faculty members and academic staff to gather information and meeting the timeline of discipline/programme procedures.
  • Ensure necessary documents related to discplines and programmes completed for publication on the university’s website in accordance with MOET regulations.
  • Prepare detailed reports and insightful analyses of academic data for partner universities and stakeholders.
  • Assist in the development and review of policies and procedures that maintain the university quality accreditation and MOET compliance.
  • Assist in the auditing procedure for compliance with MOET, partners and accreditation bodies for awards.

Senate operations:

  • Take ownership and administer all aspects of meetings, including pre-meeting preparations, in-session facilitation, and post-meeting tasks, such as scheduling, meeting coordination, and documentation of meeting minutes.
  • Supervise the governance and maintenance of Senate-related regulatory documents, including Terms of Reference (ToRs), resolutions, and official determinations, ensuring compliance with institutional and regulatory frameworks.
  • Coordinate and manage the procedural execution of Senate elections, overseeing all logistical, administrative, and regulatory requirements to ensure integrity, transparency, and adherence to institutional policies.

 POSITION SPECIFICATIONS

COMPETENCIES (knowledge, skills, and abilities)

Essential  

  • Bachelor degree in Business Administration or equivalent
  • Strong experience in quality assurance and compliance.
  • Experience in policies and procedures development, revision, and documentation.
  • Excellent English and Vietnameses verbal and written communication skills

Desirable

  • Masters degree
  • Working experience in multicultural environment, preferably in international organisations or foreign universities.
  • Effective communication with colleagues to achieve team goals.
  • Ability to analyse potential issues and deliver alternative solutions.
  • Good project management skills with the ability to prioritise.
  • Ability to handle multiple tasks within deadlines.
  • Excellent written and verbal communication skills in English.
  • Excellent IT skills – MS office applications (Word, Excel, PowerPoint, and Outlook).
